Terms & Conditions
At Hire Karaoke we want your event to run smoothly. Our terms and conditions explain how bookings, payments, delivery and equipment care work. Click the tabs below to read our policies in full, and get in touch if you have any questions.
Terms and conditions
1) The risk of loss or damage to the hired equipment passes to you, the Hirer, from the time the equipment is delivered until it is collected by us or our nominated courier. During this period, you are responsible for ensuring that all equipment is kept safe, secure and protected from loss, theft or damage.
2) The Hirer is responsible for any loss of or damage to the hired equipment during the hire period, including damage caused by misuse, negligence, theft or failure to take reasonable care. The Hirer may be charged the full cost of repair or replacement where necessary.
3) The Hirer will be responsible for the reasonable cost of repairing any damage to the hired equipment occurring during the hire period. If any equipment is lost, stolen or damaged beyond economical repair, the Hirer will be liable for the full replacement cost of the affected item(s).
4) The replacement of any damaged or lost microphones will be charged at £45 per item.
5) The Hirer must ensure that no drinks or other liquids are placed on or near the hired equipment. Any damage caused by liquid ingress will be the responsibility of the Hirer and may result in repair or replacement charges.
6) The Hirer must ensure that any person under the age of 16 using the hired equipment is supervised by a responsible adult at all times.
7) The Supplier maintains Public Liability Insurance with a limit of indemnity of £5,000,000 (five million pounds sterling).
8) The supplier is responsible for public liability insurance to the value of £10.000,000. ( ten million pounds )
9) The Supplier will provide the Hirer with an emergency/out-of-hours contact number for technical support during the hire period. If any fault, issue or malfunction with the hired equipment occurs, the Hirer must contact the Supplier immediately before attempting any repairs or alternative solutions. Hire Karaoke cannot be held responsible for any interruption to the hire or loss of service where the Hirer has failed to report the issue using the emergency contact number provided. The emergency contact number is also available on our answerphone message: 0345 463 5659.
10) The Hirer must not move, disconnect, modify or tamper with the hired equipment once it has been set up by the Supplier. Hire Karaoke accepts no responsibility for any faults, damage, interruption to the hire or loss of service resulting from the equipment being moved, disconnected, modified or otherwise tampered with by the Hirer or any third party.
11) The Supplier will provide the Hirer with the relevant instructions for setting up and operating the hired equipment, either in person or via the supplied instruction guides. It is the Hirer's responsibility to read these instructions and to ask any questions or request further assistance if they are unsure how to use the equipment.
12) The Hirer is responsible for ensuring that any additional equipment, including but not limited to smoke machines, bubble machines and pyrotechnic effects, is used safely and in accordance with the instructions provided. Hire Karaoke accepts no liability for damage to the Hirer's property resulting from the misuse, incorrect operation or inappropriate placement of such equipment by the Hirer or any third party.
13) The 24-hour emergency support line (07472 816856) should be used for any urgent issues during the hire period, including if the Supplier has not arrived within the agreed delivery or attendance window, or if there is a fault with the hired equipment. Hire Karaoke cannot guarantee a response to emails, social media messages, voicemail messages or calls made to any other telephone number outside of normal office hours.
14) Courier deliveries and collections - For bookings made via our website that are delivered by courier, the Hirer is responsible for ensuring that someone is available to accept delivery on the agreed delivery date and to hand the equipment to the courier on the agreed collection date. The Hirer must ensure that the equipment is securely packaged in the original packaging and ready for collection at the agreed time. If the courier is unable to collect the equipment due to the Hirer's failure to comply with the agreed collection arrangements, an additional charge of £75 per day may be applied until the equipment is successfully collected.
15) Missed or Delayed Courier Deliveries - Hire Karaoke will make every reasonable effort to ensure that courier deliveries and collections take place on the agreed dates. However, delivery and collection services are carried out by third-party courier companies, and as such, Hire Karaoke cannot accept responsibility for delays, missed deliveries or missed collections that are outside of our reasonable control. Where a delivery cannot be completed because the Hirer is unavailable or has provided incorrect or incomplete delivery information, the Hirer will be responsible for any additional courier charges incurred.
16) All online bookable packages require payment in full at the time of booking. Your booking is not confirmed until full payment has been received.
Cancellations
1) Where a booking fee or deposit has been paid, it is non-refundable and secures your booking, reserving the requested equipment, date and any associated resources. In the event that your booking is cancelled or postponed, Hire Karaoke may, at its sole discretion, transfer the booking fee/deposit to a new date.
2) If a technician set-up/DJ booking is cancelled more than 28 days before the event date, no further payment will be due. Any booking fee or deposit already paid will remain non-refundable.
3) If a technician set-up/DJ booking is cancelled between 28 and 15 days before the event date, 50% of the total booking value will become payable.
4) If a technician set-up/DJ booking is cancelled within 14 days of the event date, the full booking balance will remain payable.
5) All courier packages must be paid for in full at the time of booking. If a courier package booking is cancelled more than 30 days before the event date, a refund of 50% of the total booking value will be issued. No refund will be payable for cancellations made within 30 days of the event date.
Delivery
1) Following an enquiry made via our contact form, we will contact you by email or telephone to confirm your booking and, where applicable, delivery and collection arrangements.
2) For courier package bookings made through our website, the scheduled delivery and collection days will be displayed during the booking process. Please ensure you are happy with these arrangements before completing your order.
3) Unless otherwise stated, standard courier deliveries are made on Thursday, with collections on Monday. Where Monday falls on a Bank Holiday, collection will take place on Tuesday.
4) The Hirer is responsible for ensuring that someone is available to accept delivery on the agreed delivery date. Hire Karaoke cannot accept responsibility for failed or delayed deliveries where the Hirer is unavailable, has provided incorrect delivery information, or where delays occur due to circumstances beyond our reasonable control.
5) Missed or Delayed Courier Deliveries - Hire Karaoke will make every reasonable effort to ensure that courier deliveries and collections take place on the agreed dates. However, delivery and collection services are carried out by third-party courier companies, and as such, HireKaraoke cannot accept responsibility for delays, missed deliveries or missed collections that are outside of our reasonable control. Where a delivery cannot be completed because the Hirer is unavailable or has provided incorrect or incomplete delivery information, the Hirer will be responsible for any additional courier charges incurred.
6) The Hirer must ensure that the equipment is securely packaged and ready for collection on the agreed collection date. If the courier is unable to collect the equipment due to the Hirer's failure to comply with the agreed collection arrangements, a non-collection charge of £75 per day may be applied. The Hirer may also be responsible for any additional costs incurred in returning the equipment to Hire Karaoke.
Refunds
1) If Hire Karaoke is unable to fulfil your booking due to circumstances within our reasonable control, or if we cancel your booking through no fault of the Hirer, we will refund any payments you have made in respect of that booking.
2) Where equipment is supplied as part of a booking, the Hirer is responsible for contacting our 24/7 Technical Helpline promptly if they experience any technical issue, equipment fault or difficulty using the equipment during the hire period.
3) The Hirer must report any suspected fault or problem during the hire period and before the equipment is returned, so that Hire Karaoke has a reasonable opportunity to provide technical assistance, troubleshoot the issue, rectify the problem or, where appropriate, arrange replacement equipment.
4) We cannot accept a claim for a refund, partial refund or compensation based on an alleged equipment fault or technical problem where the Hirer did not contact our 24/7 Technical Helpline at the time the problem occurred and did not give Hire Karaoke a reasonable opportunity to investigate and resolve the issue during the hire period.
5) Simply experiencing difficulty with the equipment does not, in itself, entitle the Hirer to a refund where assistance was available but the Hirer chose not to contact the Technical Helpline.
6) If a fault is reported during the hire period, our technical team will make reasonable efforts to assist the Hirer and resolve the issue remotely. Where a fault cannot be resolved remotely, we will assess the circumstances and, where reasonably possible, take appropriate steps to minimise any disruption to the hire.
7) Any claim relating to the performance or operation of the equipment must be notified to Hire Karaoke as soon as reasonably possible and, in any event, before the equipment is collected or returned. Claims made after the hire period has ended may not be considered where the issue was not reported to us during the hire period and we were therefore not given a reasonable opportunity to investigate or rectify it.
8) Nothing in these terms affects any statutory rights that the Hirer may have under applicable consumer law.

What personal data we collect and why we collect it
We do not actively collect personal data for marketing purposes unless an explicit opt-in is provided or we have a legitimate reason to contact you. The only data we store is covered by the key lawful basis for data processing set out by ICO in the General Data Protection Regulation (GDPR).
Your name and contact information will be stored with your consent (or implied consent such as making an enquiry on our website) so that we may contact you in relation to your enquiry.
We will only keep your contact details for marketing purposes if you explicitly opt in to our mailing list.
If you are an existing customer we may also opt you in to our mailing list under the legitimate business interest basis for processing your data. You will be given the opportunity to opt out in the footer of every marketing email you receive from us thereafter.
We may contact you in relation to an ongoing contract.
We may contact you in relation to legitimate business interest.
Your data will be kept on record for financial accounting purposes which we are legally required to maintain records of.
Our website uses cookies to help us to monitor traffic through our website. We use Google Analytics. All data is anonymous and no personal data is collected.
Comments
When visitors leave comments on the site we collect the data shown in the comments form, and also the visitor’s IP address and browser user agent string to help spam detection.
An anonymised string created from your email address (also called a hash) may be provided to the Gravatar service to see if you are using it. The Gravatar service Privacy Policy is available here: https://automattic.com/privacy/. After approval of your comment, your profile picture is visible to the public in the context of your comment.
Media
If you upload images to the website, you should avoid uploading images with embedded location data (EXIF GPS) included. Visitors to the website can download and extract any location data from images on the website.
Contact forms
Contact form submissions to this website are collected and processed by us. By completing the contact form you are giving us permission to contact you under the lawful basis defined as ‘legitimate business interest’. Your personal data is not used for marketing purposes unless you become an active customer, in which case we may contact you under the legitimate business interest claus or in relation to your contract. The details of your enquiry will be kept until the query has been resolved and then retained for statistical purposes. Your data will only be used by the company for the purpose of answering your query unless you have opted in to receive marketing communications.
Akismet Anti-Spam Service
We collect information about visitors who comment on websites that use our Akismet anti-spam service. The information we collect depends on how the User sets up Akismet for the website, but typically includes the commenter’s IP address, user agent, referrer, and Site URL (along with other information directly provided by the commenter such as their name, username, email address, and the comment itself).

Deleting Cookies

How long we retain your data
If you leave a comment, the comment and its metadata are retained indefinitely. This is so we can recognise and approve any follow-up comments automatically instead of holding them in a moderation queue.
For users that register on our website (if any), we also store the personal information they provide in their user profile. All users can see, edit, or delete their personal information at any time (except they cannot change their username). Website administrators can also see and edit that information.
